3.1 Information You Provide Directly

When you complete our consultation or registration forms, or contact us by phone or email, we may collect:

Your name, telephone number, and email address;

The name and relationship of the senior requiring care;

The senior’s address and location details;

Health-related information, including medical conditions, diagnoses (such as dementia or Alzheimer’s disease), mobility limitations, medication needs, and care requirements;

Scheduling preferences and availability;

Emergency contact information;

Payment and billing information where applicable.

Health information is sensitive personal information. We collect it only to the extent necessary to assess care needs, match appropriate caregivers, and deliver services. We do not collect health information unless you or your authorized representative voluntarily provides it.

3.2 Information Collected Automatically

When you visit our website, our hosting infrastructure and any active analytics tools may collect:

IP address and approximate geographic location;

Browser type and version, operating system, and device type;

Pages visited, time spent on pages, and referring URLs;

Cookies and similar tracking technologies (see Section 7).

3.3 Information from Third-Party Platforms

Our website is built on WordPress and uses third-party tools including: Google Analytics, Google tag manager, Gravity SMTP, Gravity Forms & DIVI Theme. Where these tools are active, they may independently collect information about your visit according to their own privacy policies.

 

We also operate a marketing landing page on Kartra (seniorcare.idealcaregivers4u.com). Kartra is a U.S.-based platform. Information submitted through that subdomain is processed by Kartra Inc. under its own terms of service.

4. How We Use Your Information

We use personal information only for the purposes for which it was collected, or for compatible purposes the individual would reasonably expect. These include:

Responding to consultation requests and booking appointments;

Conducting care assessments and developing personalized care plans;

Matching seniors with appropriate caregivers;

Withdrawal of consent may affect our ability to provide services.

6. How We Share Your Information

We do not sell personal information. We do not share it with third parties for their own marketing purposes. We may share information in the following circumstances:

6.1 Service Providers

We work with trusted third-party vendors to operate our business, including web hosting providers, form processing systems, and CRM platforms. 6.2 Franchise Locations

If you contact us through or are referred to a specific franchise location (Markham, Mississauga, Oshawa & Whitby, or South Edmonton), your information may be shared with the franchise operator for that location. Each franchise operator is an independent business and acts as a separate data controller for services it delivers.

6.3 Healthcare Providers

With your consent, or in circumstances where it is necessary for your care, we may share relevant health information with physicians, pharmacists, or other healthcare providers involved in a client’s care.

6.4 Legal Requirements

We may disclose information where required by law, court order, or government authority, or where necessary to protect the safety of a client or another person.

6.5 Business Transfers

In the event of a sale, merger, or transfer of substantially all of our business, personal information may be transferred to the successor entity. We will notify affected individuals as required by law.

7. Cookies and Tracking Technologies

Our website uses cookies and similar technologies. Cookies are small text files placed on your device that help us understand how visitors use our site and support site functionality.

9. How Long We Keep Your Information

We retain personal information only as long as necessary for the purposes it was collected, or as required by law. Our general retention practices are:

Where required by PIPEDA’s breach reporting provisions, we will notify the Office of the Privacy Commissioner of Canada and affected individuals of material privacy breaches.

Under PIPEDA, you have the right to:

• Request correction of inaccurate or incomplete information;

• Withdraw consent for certain uses and disclosures;

12. Minors

Our website and services are not directed at individuals under the age of 18. We do not knowingly collect personal information directly from minors. Our services are provided to seniors; where a minor acts on behalf of a senior client as a family contact or substitute decision-maker, the minor’s information is collected only as a contact record and is treated in accordance with this Policy.

13. Links to Third-Party Websites

Our website may contain links to external websites, including our social media profiles on Facebook, Instagram, and LinkedIn. This Privacy Policy does not apply to those platforms. We encourage you to review the privacy policies of any third-party sites you visit, as we have no control over their privacy practices.
